  11. Other critical style quality information, such as needle size
  12. A copy of the Time and Action calendar (prepared by the Production Planning department)
  13. Copy of the PP meeting notes (Minutes of the Pre-Production meeting)
  14. FPT and GPT report (if available at the time of the PP meeting)
  15. Ex-factory date (the date the shipment should be ready for final inspection and transport to the port)

How to Create a Production File:

  • Obtain a Ring Binder or Paper Spring File: Secure a ring binder or paper spring file from the stationary department.
  • Print Buyer Documents: Print all buyer documents including the tech pack, specification sheet, comments, production order, and important mail communications. Categorize and staple them accordingly.
  • Prepare Swatch Cards: Use thicker paper for swatch cards. Attach trims to the trim card or place them in small poly pouches and staple them to the card. Ensure all trims are signed off with approval.
  • Attach Strike-Off Approvals: If you have approved strike-offs for printing and embroidery or handwork, attach these approvals to the swatch card.
  • Organize Documents: Punch holes in all documents and swatch cards and file them in the ring binder in the sequence outlined above.
  • Create and Affix a Checklist: Prepare a checklist with the items listed above and affix it to the inside front cover. Indicate what has been approved, what is awaiting approval, and what is pending.
  • Use Separators for Large Files: Insert separators between different document types if the file is large.
  • Label the File: Clearly label the file with the Style/Order Name, Buyer Name, Merchant Name, File Handover Date, Planned Cut Date, and Ex-Factory Date.

Additional Tips for an Effective Production File:

  • Regular Updates: Ensure that the production file is regularly updated with any new information or changes. This keeps the production team informed and prevents any miscommunication.
  • Digital Backup: In addition to the physical file, maintain a digital copy of all documents. This serves as a backup and allows for easy sharing and retrieval of information.
